How we collect, use and store your personal data, and the rights you have over it.

Who we are

Rapid Vehicle Solutions Ltd (“Rapid”, “we”, “us”) is the data controller for the personal information described in this policy.

Rapid Vehicle Solutions Ltd complies with its applicable obligations under UK data protection law. Where the company is required to pay the data protection fee and register with the Information Commissioner’s Office, the appropriate registration will be maintained.

We do not run credit checks. We assess whether an agreement is affordable for you. We do not search your credit file, and applying to us leaves no record on it.

What information we collect

When you enquire

  • Your name, email address and telephone number
  • The vehicle or vehicles you are interested in
  • Anything you tell us in your message

When you apply for a vehicle

Through the My Rapid portal, we collect and store the information needed to verify who you are and to assess whether an agreement is affordable for you:

  • Driving licence
  • Proof of address, such as a utility bill or council tax statement
  • Bank statements, where required for an application
  • Proof of income, such as payslips
  • Employment and employer information
  • Business details and supporting company documents, for business customers
  • Your application information
  • Signed agreements and contracts
  • Insurance documents, where applicable
  • Correspondence relating to your application or agreement

We collect only what is reasonably necessary to process an application, verify identity, administer a vehicle agreement and meet our legal obligations.

When you visit the website

Our hosting provider keeps standard server logs, including IP addresses, for security and to keep the site running. We do not use these to build a profile of you. See Cookies and tracking below.

Where we rely on legitimate interests, we have considered whether our interest is outweighed by your rights, and we have concluded that it is not. You can ask us to explain that assessment.

Who we share it with

We share your information only where it is necessary, and only the parts that are necessary:

  • Vehicle suppliers and dealerships
  • Accountants, auditors and professional advisers
  • Our hosting, database and document storage providers
  • Our email provider, which delivers enquiry notifications to our sales team
  • Delivery and vehicle logistics providers
  • DVLA and other vehicle or driver authorities, where required
  • Government bodies, law enforcement, courts and regulators, where we are legally required to do so

We do not sell your personal information to anyone.

How long we keep it

After these periods we securely delete or anonymise the information, unless we need to keep it longer for a legal, regulatory, fraud-prevention, complaint or dispute reason.

Cookies and tracking

If you are not signed in, this website sets no cookies at all.

We do not currently use analytics, advertising or tracking technologies of any kind — no Google Analytics, no advertising pixels, no session recording.

When you sign in to the My Rapid portal, we set a single strictly necessary cookie to keep you signed in. It is HttpOnly and SameSite=Lax, and it does not track you across other sites. Strictly necessary cookies do not require your consent.

If we introduce analytics in future, we will update this page and our cookie policy, and we will ask for your consent before any non-essential cookie is set.

Where your information is held

Our database and our website’s server functions are both hosted in London. The documents you upload are held in access-controlled storage.

Our email provider processes information outside the UK in order to deliver enquiry notifications, confirmations and portal messages. Where information is processed outside the UK, we rely on standard contractual clauses approved for use in the UK.

Keeping it secure

Portal accounts are protected by passwords that we store only in hashed form. Documents are held in private storage that is not publicly accessible, and access is restricted to staff who need it to do their jobs. We use encrypted connections throughout.

No system is perfectly secure, but if a breach occurs that is likely to result in a risk to your rights, we will notify the Information Commissioner’s Office and, where required, you.

Your rights

You have the right to:

  • Access the personal information we hold about you
  • Correct anything inaccurate
  • Erase your information, where we no longer need it
  • Restrict or object to how we use it
  • Portability — receive your information in a machine-readable format
  • Withdraw consent at any time, where we rely on it
  • Not be subject to a solely automated decision with legal or similarly significant effects

Changes to this policy

We update this policy when our practices change. The date at the top shows when it was last revised. If we make a significant change, we will tell customers directly.
